ABOUT THE ROLE
The Executive Assistant runs the operating rhythm of Monetary’s Executive Leadership Team. Working in our office every day, reporting to the CEO, you will own the ELT agenda, drive decisions and action items to completion, and coordinate board meetings, offsites, and company events. You will also own the day-to-day operation of our office.
This is a project management role as much as an executive support role. You will hold context across the C-suite, keep commitments moving, and follow up with senior leaders directly and persistently. You stay neutral on the substance of decisions and firm on the process that gets them made. A remote, part-time contracted assistant handles high-volume administrative work under your direction, so your time goes to coordination and follow-through.
This role is a strong fit for a highly experienced executive partner who is local, thrives working in person, and takes pride in anticipating what leaders need before they ask. If you are energized by keeping a leadership team aligned and moving, you will thrive at Monetary.
WHAT YOU’LL DO
As an Executive Assistant, you will:
- Own the ELT meeting cadence end to end: build agendas with the CEO, collect pre-reads in advance, and keep meetings focused on decisions.
- Capture decisions and action items, assign owners and due dates, and follow up until each item is closed.
- Track cross-functional priorities across the ELT, flagging risks, conflicts, and slipping deadlines early so leaders are not caught off guard.
- Gather input across the ELT and synthesize it into plans, agendas, and decision documents.
- Coordinate board meetings end to end: calendar, materials timeline, deck collection from ELT owners, logistics, and post-meeting follow-up.
- Plan and run ELT offsites and leadership events, from agenda and logistics through follow-through on outcomes.
- Partner on company events, including all-hands, company offsites, and team celebrations, owning logistics, vendors, and budget so events run smoothly and reflect company priorities.
- Handle highly confidential information, including compensation, organizational changes, executive recruiting, and board materials, with complete discretion.
- Direct and prioritize the work of the remote contracted assistant, who handles inbox monitoring, scheduling, receipt collection, and expense tracking.
- Own day-to-day office operations, including vendor relationships, purchasing within budget, supplies, snacks and coffee, and company swag.
- Coordinate in-office visits from board members, customers, and candidates so the office reflects the company well.
WHAT YOU’LL BRING
REQUIRED
- 6+ years supporting C-suite executives, including supporting multiple senior leaders at once
- Demonstrated project management skills: running recurring operating cadences, tracking many workstreams, and driving deliverables to completion
- Exceptional discretion with confidential and sensitive information
- A steady, confident presence with strong personalities; speaks up when it matters, takes direct feedback in stride, and follows up persistently without making it personal
- Sound judgment about what to escalate, what to handle independently, and what can wait
- Strong organization and clear written documentation
- Experience planning board meetings, offsites, and company-wide events
- Comfortable using AI tools (e.g., Claude, Gemini, etc.) in daily work to produce high-quality work product and to increase productivity in a prudent, safe manner
- Local to Charlotte and able to work in the office every day
PREFERRED
- Experience directing contracted, part-time, or remote administrative support
- Experience supporting a leadership team in a fast-paced, growing company
- Experience managing office operations, vendors, or a facilities budget
- Fluency with project tracking and collaboration tools such as Google Workspace, Slack, and Asana
