Key Responsibilities
The Utah Schools for the Deaf and the Blind (USDB) invites you to consider an enjoyable and gratifying employment opportunity with our school. We are looking for a skilled, motivated and responsible individual to fill the position of Executive Assistant to the Superintendent at USDB.
Principal Duties
As the Executive Assistant, you will
Respond to management, staff, the public, legislative, and/or other entity requests on behalf of the Superintendent; coordinate and/or act as a liaison between USDB and other agencies, work units, organizations, suppliers, etc.
Receive assignments from the Superintendent and relieve the Superintendent of administrative detail
Provide administrative support; maintain calendars; schedules and coordinate appointments; coordinates travel plans
Support the Utah Schools for the Deaf and the Blind Advisory Council meetings including creating agenda’s, coordinating the meeting requirements, scheduling ASL translators, etc.
Provide information, explain policies and procedures; facilitate resolutions
Write or draft correspondence, reports, documents and/or other materials, and review and edit them for procedural and grammatical accuracy, conformance to general policy, etc.
Review incoming correspondence; initiate replies as appropriate; route matters requiring action by staff or other organizations and follow up to ensure actions are completed;
Order materials, submit procurement requests, and input information into a budget tracker to track purchases.
Maintain and update the USDB website, including coordinating work with the USBE communications team.
Perform other duties as assigned.
This is an in-person position with some travel required. The primary work location is located on the Ogden campus.
Qualifications
The Ideal Candidate
The Ideal Candidate will possess
Knowledge of administrative and clerical procedures and systems such as Google applications, Vantage, word processing and other computer software, filing and records management systems, transcription systems, forms design principles, and other office procedures and terminology
- Knowledge of applicable laws, rules, regulations, policies and procedures
- Basic understanding of accounting principles and purchasing methodology
- Ability to arrange, coordinate, and schedule time and details
- Coordinate the activities and tasks of people, groups, and/or organizations
- Excellent oral and written communication skills

Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc. Special physical demands are not required to perform the work.
