SourceAmerica is seeking seeking an experienced IT Business Operations Manager to join our Information Technology department.  The IT Business Operations Manager serves as a key operational partner to the Chief Information Officer and IT leadership team. This role oversees IT business operations including budget management, vendor and contract administration, workforce coordination, invoice processing, reporting, software renewals, and departmental planning activities.

What You’ll Do

SourceAmerica is seeking seeking an experienced IT Business Operations Manager to join our Information Technology department.  The IT Business Operations Manager serves as a key operational partner to the Chief Information Officer and IT leadership team. This role oversees IT business operations including budget management, vendor and contract administration, workforce coordination, invoice processing, reporting, software renewals, and departmental planning activities.

The ideal candidate combines strong financial and analytical skills with exceptional organizational abilities and a proactive approach to managing recurring processes, deadlines, and cross-functional initiatives.

  • Due to the requirements of this position, candidates must live within 30 commuting miles or less of the SourceAmerica's National Office, Vienna, VA; and work 2-3 days per week in the office.

How You Will Spend Your Day ...

Financial Management & Reporting

  • Manage IT budget tracking, forecasting, expense monitoring, and financial reporting.
  • Review invoices for accuracy, authorization, and contract compliance.
  • Monitor expenditures and provide variance analysis and financial insights.
  • Maintain operational dashboards, metrics, and leadership reports.

Vendor & Contract Management

  • Maintain an inventory of IT vendors, contracts, service agreements, and software subscriptions.
  • Coordinate contract renewals and track key expiration dates.
  • Manage purchase requests, purchase orders, amendments, and supporting documentation.
  • Support vendor performance management and relationship oversight.
  • Identify cost-saving opportunities and improve contract management processes.

Workforce & Resource Coordination

  • Coordinate recruiting, onboarding, offboarding, contractor renewals, and staffing administration.
  • Maintain workforce metrics, staffing rosters, and contractor information.
  • Support office and workstation assignments for IT staff and contractors.
  • Assist with departmental planning, meetings, and operational activities.

Operational Excellence

  • Develop procedures, templates, controls, and operational documentation.
  • Prepare reports and presentations for executive and leadership audiences.
  • Identify process improvements, automation opportunities, and operational efficiencies.
  • Partner effectively with Finance, Procurement, Human Resources, Facilities, and Legal teams.

Salary Range

The salary for this position falls in a range between $88,000 - $98,000 depending on your experience and geographic location in the United States.

Minimum Qualifications

  • Bachelor's degree in Business Administration, Finance, Accounting, Operations Management, Information Systems, or a related field.
  • 5 years of progressively responsible experience in Business operations, Financial administration, Contract administration, Vendor management, and Procurement.
  • Experience managing contracts, invoices, vendors, renewals, and purchasing processes.
  • Experience supporting budgeting, forecasting, and financial reporting.
  • Experience coordinating staffing, recruiting, contractor administration, or workforce operations.
  • Advanced proficiency in Microsoft Excel and Microsoft 365 applications.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and deadlines independently.
  • Strong attention to detail and commitment to accuracy.
  • Ability to maintain confidentiality of financial, personnel, and vendor information.
  • Advanced proficiency with Microsoft Office Suite (Excel, Outlook, PowerPoint, Word).
  • Experience working with ERP systems; familiarity with Microsoft Dynamics 365 is a plus.

Preferred Qualifications …

  • Experience supporting an Information Technology department or Office of the CIO.
  • Experience with Power BI or other business intelligence tools.
  • Experience with procurement, contract management, or invoice-processing systems.
  • Knowledge of technology contracts, software licensing, and professional services agreements.
  • Experience improving and automating business processes.
