Advancemint ("Advancemint," "we," "us," or "our") is a Canadian-owned and operated business based in Canada. We provide a platform that helps produce career-services deliverables — such as resumes, cover letters, and related professional documents — for coaching and career organizations and the job seekers they serve.
This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, who we share it with, and the choices and rights you have. We are committed to handling personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, the EU and UK General Data Protection Regulation (GDPR / UK GDPR).
By using Advancemint, you agree to the practices described in this policy. If you do not agree, please do not use the service.
1. Who this policy covers
Advancemint serves two kinds of users, and this policy applies to both:
- Organizations and their staff ("Organizations"). Coaching and career organizations that use Advancemint to produce deliverables for their own clients, and the staff who log in on the Organization's behalf.
- Clients. Job seekers whose information is used to produce deliverables, introduced and served through an Organization.
When an Organization submits information about its own clients, the Organization is responsible for having the appropriate authority and consent to do so, and Advancemint acts as a service provider on the Organization's behalf for that information.
2. Information we collect
We collect only the information we need to provide and improve the service.
2.1 Information you provide
- Account and identity information — such as your name, email address, organization name, and role.
- Career and profile content — the information used to create your deliverables, such as your work history, education, skills, accomplishments, target roles, and any documents, files, or details you submit.
- Communications — messages, support requests, and feedback you send us.
- Billing information — where applicable, billing contact details and transaction records. Payment card details, if collected, are handled by a third-party payment provider and are not stored by Advancemint.
2.2 Information collected automatically
- Usage and device information — such as pages viewed, features used, general activity, and basic technical information about your browser or device.
- Cookies and similar technologies — used to keep you signed in, remember preferences, secure the service, and understand usage. See our Cookie Notice.
- Notification data — if you choose to enable notifications, we store what is needed to deliver them and to let you manage your preferences.
We do not knowingly collect information from children. The service is not directed to individuals under the age of majority in their province or country of residence.
3. How we use your information
We use personal information to:
- Provide, operate, and deliver the service and its outputs;
- Create, tailor, revise, and deliver deliverables;
- Authenticate users, secure accounts, and prevent fraud and abuse;
- Send you service-related communications and, where you have opted in, notifications;
- Provide customer support and respond to your requests;
- Process billing and maintain business records;
- Monitor, maintain, and improve the reliability and quality of the service;
- Comply with legal obligations and enforce our terms.
We do not sell your personal information, and we do not use it for third-party advertising.
4. Legal bases for processing (EU / UK users)
Where the GDPR or UK GDPR applies, we rely on the following legal bases:
- Performance of a contract — to provide the service you or your Organization have requested.
- Legitimate interests — to secure, maintain, and improve the service and to communicate with you, balanced against your rights.
- Consent — for optional features such as notifications and certain cookies, and where otherwise required. You may withdraw consent at any time.
- Legal obligation — to comply with applicable laws.
Where Advancemint processes an Organization's client information on the Organization's behalf, the Organization is responsible for establishing the legal basis and obtaining any required consent.
5. How we share information
We share personal information only as described here:
- Within your Organization. If you are a Client of an Organization, your information is accessible to the authorized staff of that Organization who are serving you.
- Service providers. We use carefully selected third-party service providers to help us host, operate, secure, support, and deliver the service. They are permitted to use personal information only to perform services for us and are bound by confidentiality and data-protection obligations.
- Authorized personnel. Access to personal information within Advancemint is limited to authorized personnel on a need-to-know basis in order to operate and support the service.
- Legal and safety. We may disclose information when required by law, legal process, or a governmental request, or to protect the rights, safety, and property of Advancemint, our users, or the public.
- Business transfers. If Advancemint is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
We do not name our individual service providers in this policy. Organizations with a contractual need for further detail may request it from us, subject to appropriate confidentiality terms.
6. International data transfers
Advancemint is based in Canada. Some of the service providers we rely on may store or process information in other jurisdictions, including outside Canada. When personal information is processed in another jurisdiction, it may be subject to the laws of that jurisdiction, including lawful access by its courts and authorities.
Where required, we put appropriate safeguards in place for these transfers — including recognized contractual protections such as the European Commission's Standard Contractual Clauses for transfers from the EEA or UK — and we remain accountable for information we transfer to a service provider for processing, as required by PIPEDA.
7. How long we keep information
We keep personal information only as long as necessary for the purposes described in this policy, including to provide the service, comply with our legal obligations, resolve disputes, and enforce our agreements. Retention periods depend on the type of information and the context in which it was collected.
- Organizations may retain their clients' information for as long as they maintain their Advancemint account, subject to their own retention practices.
- When an account is closed, or on a valid deletion request, we delete or anonymize personal information within a reasonable period, except where we are required or permitted by law to retain it (for example, billing records).
8. Cookies and similar technologies
We use cookies and similar technologies to keep the service working (such as sign-in sessions and security), remember your preferences, and understand usage so we can improve the service. You can control cookies through your browser settings; blocking strictly necessary cookies may prevent parts of the service from functioning. See our Cookie Notice for details.
9. Your rights and choices
Depending on where you live, you have rights over your personal information. Under PIPEDA, you may:
- Access the personal information we hold about you and ask how it has been used and disclosed;
- Correct information that is inaccurate or incomplete;
- Withdraw consent, subject to legal or contractual restrictions and reasonable notice.
If the GDPR / UK GDPR applies to you, you additionally have the right to erasure, restriction of processing, data portability, to object to processing based on legitimate interests, and to lodge a complaint with a supervisory authority.
How to exercise your rights. Contact us at privacy@advancemint.com. We will respond within the timeframes required by applicable law. We may need to verify your identity before acting on a request.
A note for Organizations' clients. If your information was provided to Advancemint by an Organization, we may direct your request to that Organization (as the party responsible for the information) and assist them in responding.
10. How we protect your information
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information to protect it against unauthorized access, use, disclosure, alteration, and loss. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we experience a breach of security safeguards that creates a real risk of significant harm, we will notify affected individuals and the appropriate authorities as required by law.
11. Automated processing
We do not use your personal information to make decisions that produce legal or similarly significant effects about you without human involvement.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice (such as an in-app notice or email). Your continued use of the service after an update means you accept the revised policy.
