About the role
The Senior Executive Assistant serves as a trusted, highly proactive partner to CG Oncology’s Chief Commercial Officer (CCO), providing confidential executive support and coordinating complex priorities across the Commercial organization. The role protects the CCO’s time, anticipates critical needs, enables effective executive decisions, and coordinates high-visibility interactions with the Executive Leadership Team (ELT), Board of Directors, and external stakeholders.
This senior role requires outstanding executive judgment, diplomacy, discretion, responsiveness, and independent ownership in a dynamic biopharmaceutical environment. The individual supports Board and ELT meeting logistics, executive communications, briefing preparation, and travel in close partnership with the appropriate internal teams.
Essential Functions
Executive Support:
- Serve as trusted executive partner and primary administrative contact for the CCO; exercise independent judgment, sound escalation, impeccable discretion, and diplomatic communication.
- Proactively orchestrate the CCO’s complex calendar across Commercial priorities, ELT commitments, Board interactions, and external engagements; triage competing demands and anticipate conflicts.
- Prepare, draft, edit, proofread, and securely coordinate executive correspondence, meeting briefs, presentations, agendas, pre-reads, and other sensitive materials for senior-level audiences.
- Anticipate strategic priorities, stakeholder sensitivities, deadlines, and decisions; proactively identify risks and drive appropriate preparation, follow-through, and administrative solutions.
Calendar and Travel Management:
- Manage significant domestic and international executive travel, potentially requiring up to 35% travel for this role; coordinate multi-city itineraries, transportation, lodging, contingency arrangements, and changes.
- Coordinate CCO and related executive travel for Board discussions, ELT meetings, Commercial leadership events, and business milestones, ensuring seamless logistics and timely briefing materials.
Commercial Leadership & Meeting Coordination:
- Coordinate high-visibility meetings involving the CCO, Board members, ELT, Commercial leadership, cross-functional partners, and external stakeholders, in partnership with the responsible teams.
- Own logistics, invitations, agendas, secure circulation of approved pre-reads, presentation readiness, video conferencing, and appropriate action-item follow-up for complex executive meetings.
- Build productive relationships with the ELT, Board-facing support functions, Commercial leaders, and other executive assistants; facilitate timely and confidential information flow.
Events, Expenses and Budget Management:
- Coordinate logistics for shareholder and Board-related discussions involving the CCO, ELT engagements, Commercial offsites, planning sessions, and executive-level events, including travel, venues, vendors, and meeting materials.
- Prepare and reconcile executive expenses and coordinate appropriate budget-related administrative processes in compliance with company policy.
- Maintain accurate, secure executive records, contacts, itineraries, confidential correspondence, and approved meeting documents; apply appropriate access controls.
- Lead time-sensitive executive administrative projects, strengthen workflows, and anticipate operational needs as Commercial priorities evolve.
Executive Communications & Stakeholder Partnership:
- Act as a polished, trusted liaison between the CCO and Board members, the ELT, internal leadership, and external partners; tailor communications to senior audiences and exercise sound judgment about sensitivity and timing.
- Triage requests, draft responses for CCO review as appropriate, communicate decisions accurately, elevate urgent matters, and track critical commitments to closure.
- Collaborate with the General Counsel, Chief Compliance Officer, Corporate Secretary function where applicable, and executive support colleagues on Board-related logistics, while leaving Board governance and compliance responsibilities with their designated owners
Qualifications
- Bachelor’s degree in business, administration, or a related field, or equivalent experience.
- Seven (7) years of progressively responsible executive administrative experience, including direct support of C-suite or senior executives; complex calendars, Board/ELT meeting logistics, domestic and international travel, and sensitive executive correspondence. Advanced Microsoft 365 skills; high-quality writing and independent judgment.
