We are seeking a talented individual to join our Business and Client Services (BCS) team, part of our People & Investments business at Marsh. This role will be based in New York City and offers a hybrid work arrangement, requiring a minimum of three days per week in the office.
As an Executive Assistant, you will support the Global Chief Operating Officer of Marsh Risk and the Global Chief Operating Officer of Marsh People and Investments, providing seamless administrative and executive support across both offices.
Acting as the "face" and gatekeeper for two senior executive offices, you will work directly with both COOs and their leadership teams, managing a broad variety of administrative tasks. One executive leads core insurance operations and drives client service and strategy across commercial insurance broking, risk management, and risk consulting; the other oversees business operations for the people and wealth business, aligning financial and administrative delivery. Both executives travel extensively and operate across multiple time zones, so you will be relied on to manage visas, international itineraries, and cross-time-zone coordination with precision. Competent, professional, discreet, and committed, you will collaborate with senior executives and their executive assistants across the organization, providing world-class support to two of Marsh's most senior leaders.
We will count on you to
Manage extremely active calendars for both COOs, balancing competing priorities across two offices and multiple time zones
Arrange complex international travel plans, itineraries, and agendas, including visa applications and entry requirements
Ensure timely and accurate completion of expense reports, including cross-border and multi-currency claims
Research, prioritize, and follow up on incoming issues and concerns addressed to either COO, including those of a sensitive or confidential nature
Plan, coordinate, and ensure both executives' schedules are followed and respected
Serve as the first point of interaction with the Offices of the COOs, setting a professional and welcoming tone
Collaborate with internal teams to ensure meeting materials for internal, board, client meetings, events, and speaking engagements are prepared and provided when needed
Responsible for organizing large team meetings and events across Marsh Risk and Marsh People and Investments, including light travel to offsite locations as needed.
Provide administrative and systems support, including Workday, procurement, and related internal systems
Engage with external vendors and stakeholders
Coordinate and align priorities between the two executive offices, flagging conflicts or overlaps early
What you need to have
High school diploma or equivalent
10+ years of experience supporting C-Suite and/or senior executives at an administrative capacity, ideally more than one at a time
Highly inquisitive nature with an interest in challenging the status quo by trying new tools and ways of working
Ability to multi-task with strong organizational skills, keen attention to detail, and sound problem-solving abilities
Experience coordinating international travel, including visa requirements and multi-time-zone scheduling
Forward-looking thinker who is always looking months ahead, flagging scheduling conflicts and travel complications well before they become urgent
- Ability to handle confidential and time-sensitive matters and materials with discretion
- Ability to work effectively in a deadline-driven environment
- Ability to collaborate across a complex organization and build strong relationships
- Ability to operate in ambiguity and make decisions with minimal direction
Strong knowledge of Microsoft Office products and an interest in experimenting with new technology products

All Marsh colleagues are expected to be in their local office or working onsite with clients at least three days per week. Office-based teams will identify at least one “anchor day” per week on which their full team will be together in person.
The applicable base salary range for this role is $56,200 to $112,300.
The base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and any applicable minimum wage requirements. Decisions will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
