As the Executive Assistant to the CEO, you will provide high-level administrative, operational, and strategic support to our Chief Executive Officer. You will serve as a trusted partner to the CEO, managing complex schedules, facilitating communications, coordinating executive initiatives, and ensuring the efficient operation of the executive office. - As the Executive Assistant to the CEO, you will provide high-level
- administrative, operational, and strategic support to our Chief Executive
- Officer. You will serve as a trusted partner to the CEO, managing complex
- schedules, facilitating communications, coordinating executive initiatives, and
- ensuring the efficient operation of the executive office. An ideal candidate for
- this role is someone who is highly organized, proactive, discreet, and capable
- of handling sensitive and confidential information with professionalism.
Executive Support
- Manage and maintain the CEO's complex calendar, including meetings, travel,
- speaking engagements, and special events. This must always be up to date with
- changes.
- Prioritize competing demands and ensure effective use of the CEO's time.
- Coordinate and prepare meeting agendas, presentations, reports, briefing
materials, and follow-up action items.
- Screen and prioritize incoming communications, correspondence, and requests.
- Draft, edit, and prepare professional communications on behalf of the CEO.
Board and Leadership Support
- Coordinate Board of Directors meetings, committee meetings, and executive
leadership meetings as requested
- Assist in the preparation of board materials, reports, minutes,
presentations, and supporting documentation.
- Track and monitor action items resulting from board and executive meetings.
- Serve as a liaison between the CEO, Board members, executive leaders, owners,
and external stakeholders.
Travel and Event Coordination
- Arrange complex domestic, private and international travel itineraries.
- Coordinate executive meetings, leadership retreats, conferences, and special
events.
- Ensure seamless execution of logistics and schedules.
Project and Operational Management
- Support strategic initiatives by tracking milestones, deadlines, and
deliverables.
- Conduct research, compile data, and prepare executive summaries and reports.
- Assist with special projects and cross-functional initiatives as assigned.
- Identify opportunities to improve efficiency and effectiveness within
executive office operations.
Communication and Relationship Management
- Build positive relationships with internal and external stakeholders.
- Serve as a gatekeeper and ambassador for the CEO's office.
- Facilitate communication across departments and leadership teams.
- Maintain the highest standards of professionalism and customer service.
Confidentiality and Discretion
- Handle confidential company, financial, legal, personnel, and business
information with absolute discretion.
- Exercise sound judgment in managing sensitive situations and executive
communications.
Qualifications Required
- 7+ years of progressive executive administrative support experience,
including direct support of a C-suite executive.
- Demonstrated experience managing highly complex calendars and executive
priorities.
- Exceptional written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word,
Excel, PowerPoint, Teams, and SharePoint.
- Strong organizational, project management, and problem-solving skills.
- Ability to maintain confidentiality and exercise sound judgment.
Preferred Experience
- Experience supporting a CEO, President, or Chief Executive Officer.
- Hospitality, service, management company, or multi-location organization
experience.
- Experience with Board of Directors administration and governance support.
- Certified Administrative Professional (CAP) designation or similar
professional certification.
