Job Summary

This position reports directly to the Executive Vice President and will provide additional support to other EVP’s and leasing representatives This candidate must be very comfortable attending to both personal and business-related tasks. Excellent communication and interpersonal skills are required in addition to familiarity with social and business etiquette.

Job Duties

  • Manage and maintain EVP’s schedule
  • Assist EVPs in preparation for meetings by coordinating materials, monitoring deadlines and action items
  • Generate proposals and draft leases
  • Research and analysis of commercial real estate data
  • Database and contact management
  • Assist in event planning and execution
  • Ticket management and distribution for entertainment events
  • Prepare and write correspondence
  • Maintain all leasing reports and updates for company meetings
  • Compile, edit, format and send partner reports and agendas
  • File management, mostly digital
  • Travel and conference coordination/logistics
  • Liaison with business partners, regional partners, industry brokers and tenants
  • Manage expense reports and weekly time sheets
  • Coordinate registrations for external industry events
  • Set up conference rooms for various internal meetings, lunch orders as needed
  • Assist in-house leasing team with administrative duties, keep in-house leasing team informed/updated with new processes and protocols
  • Personal errands

Roles and Responsibilities

Must be proactive, detail oriented, and possess the ability to prioritize/multi-task. Must have strong analytical and research skills. Must demonstrate high levels of confidentiality. Must be proficient in Outlook (Calendars), Word, Excel, MRI and Monday.com. Must produce within established deadlines. Must be resourceful and have the ability to remain calm under pressure. Must communicate and reflect the high professional standard of the Executives.
