This position helps Company leadership stay organized, informed, and prepared by coordinating calendars, meetings, travel, communications, company events, corporate apparel and promotional items, and social media activities.

The Executive Assistant & Corporate Communications Coordinator provides high-level administrative and organizational support to the Company's President, Vice President, and Secretary. This position helps Company leadership stay organized, informed, and prepared by coordinating calendars, meetings, travel, communications, company events, corporate apparel and promotional items, and social media activities.
The successful candidate should be comfortable working in a fast-paced heavy highway construction environment where schedules and priorities can change quickly.
Responsibilities
- Provide direct administrative support to the President, Vice President, and Secretary
- Manage and coordinate executive calendars, appointments, meetings, and scheduling.
Coordinate business travel, including flights, hotels, rental vehicles, transportation, itineraries, and other necessary arrangements.
Help prepare meeting materials, agendas, presentations, correspondence, and other documents as requested.
Maintain strict confidentiality regarding Company operations, personnel, financial information, ownership matters, and executive communications.
- Serve as the primary coordinator for major Company events as assigned.
- Maintain an event budget and track expenses against approved amounts.
Manage the purchasing and coordination of Company-branded apparel, promotional merchandise, and employee swag, excluding safety-specific clothing and Personal Protective Equipment (PPE).
Maintain appropriate consistency with Company branding.
Coordinate and maintain the Company's professional presence on appropriate social media platforms, including Facebook, Instagram, X, LinkedIn, TikTok, and other platforms approved by Company leadership.
- Develop and maintain a consistent social media posting schedule.
- Maintain a professional and consistent Company image across platforms.
- Assist with Company announcements and internal communications.
- Work harmoniously, cooperatively, and courteously with others at all times.
- Follow directions and instructions from supervisors.
Perform a variety of tasks and duties that may change often as the work conditions require.
- Work within defined standards of accuracy.
- Perform all other duties as assigned.
Requirements
Experience with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and related applications.
Familiarity with Facebook, Instagram, X, LinkedIn, TikTok, and other social media platforms.
- Ability to communicate effectively with employees at all levels of the organization.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
Professional demeanor and ability to work directly with Company ownership and senior leadership.
- Ability to maintain confidentiality and handle sensitive information.
- Strong attention to detail.
- Ability to manage multiple priorities simultaneously.
- Must be able to lift at least 25 pounds unassisted.
- Must be able to see and hear well (naturally or with correction)
Preferred Qualifications
Experience as an Executive Assistant, Administrative Assistant, Event Coordinator, Communications Coordinator, Marketing Coordinator, or similar position.
