About The Role
We're looking for our first dedicated Staff Accountant to join our Finance team, reporting to the Finance Manager. This is a brand-new position that blends billing, accounts receivable, and collections with core staff accounting work, including journal entries, reconciliations, month-end close, and costing for our field service and customer success activity. Each month, that means supporting hardware and subscription invoicing, making sure every subscription is set up correctly, following up with customers when payments fall behind, and helping keep our books accurate and timely. You'll work closely with our Customer Success, Field Service, and Sales teams to keep customer accounts accurate, costs well understood, and relationships strong.
If you like being the person who knows exactly where things stand, enjoy solving puzzles with data, want to grow your accounting skills, and can pick up the phone to have a friendly, direct conversation about an overdue balance, we'd love to hear from you.
What You'll Do
Billing and Subscriptions
- Prepare and send accurate hardware and subscription invoices, including mailed invoices, verifying pricing and terms and issuing credit memos as needed.
- Set up and maintain customer subscriptions in Stripe from our HubSpot ticket pipeline, including upgrades, downgrades, renewals, and cancellations.
- Use back-end system data to match subscriptions to hardware devices so every active device is billed correctly.
Payments and Collections
- Record and apply ACH, check, card, and wire payments, deposit mailed checks at our Urbandale office, and resolve unapplied cash and short payments.
- Follow up on past-due invoices by phone and email, take customer calls about open balances, and process card payments over the phone. Phone outreach is a core, regular part of this role.
- Manage the HubSpot collections pipeline, using your judgment to pause service, issue credits, or set payment timing, and escalate seriously delinquent accounts to the Finance Manager.
General Accounting and Month-End Close
- Prepare and post journal entries in QuickBooks Online, including accruals, prepaid amortization, deferred revenue, and reclassifications.
- Reconcile balance sheet accounts monthly, including bank, Stripe clearing, AR, and deferred revenue, and keep Shopify, Stripe, and QuickBooks Online in sync.
- Support month-end close and prepare AR, collections, and other financial reports, with clean documentation for audits and tax filings.
Field Service and Customer Success Costing
- Track and allocate labor, travel, mileage, and parts costs on field service and customer success tickets, recording them to the correct accounts in QuickBooks.
- Report on service costs such as cost per ticket, cost per installation, and warranty trends, partnering with Field Service and Customer Success to keep ticket data complete.
What We're Looking For
- Strong attention to detail and a commitment to getting things right.
- Confidence on the phone, including in conversations about overdue balances, and clear, friendly written communication.
- The ability to stay organized, work independently, and manage recurring deadlines.
- Good judgment about when to work with a customer and when to escalate.
- Curiosity about where costs come from and a desire to grow your accounting skills.
- Availability to work on-site in Urbandale three days per week (no travel), with flexibility during our busiest windows around month-end.
Experience and Qualifications
Required
- 1–2 years of experience in billing, accounts receivable, collections, or general accounting.
- Working knowledge of accounting fundamentals, including debits and credits, accruals, and account reconciliations.
- Comfort working in Excel, including sorting, filtering, formulas, and working with exported data.
Preferred
- Experience with QuickBooks Online, including posting journal entries.
- Coursework or a degree in accounting or finance.
- Experience with month-end close, job costing, or service costing.
- Experience with Stripe, HubSpot, or other subscription billing or CRM tools.
- Certified Bookkeeper or QuickBooks ProAdvisor certification.
- Familiarity with agriculture or experience working with ag customers.
- Experience with AI finance tools, such as Claude, ChatGPT, Gemini, Copilot, etc.
What We Offer

- Competitive health plans (medical, dental, & vision insurance)
- Health Savings Account (HSA)
- 401(k)
- Competitive pay
- Unlimited paid time off
- Paid parental leave
- $500 home office reimbursement
- An exciting, fast-paced work environment where your ideas can be acted on swiftly. We default to action!
