Luzern Risk is transforming risk into a strategic asset. We are building a platform to revolutionize the captive management industry, providing our clients with the technology and expertise to take control of their risk financing. We are a team of passionate, driven individuals excited to solve hard problems, build an industry-defining company, and create a best-in-class experience for our clients.
Luzern is seeking an experienced Executive Assistant to partner with and support our Chief Executive Officer and leadership team. The primary responsibilities of this role are focused on optimizing the CEO's time, keeping our New York office running smoothly, and building a culture people want to be part of. This is a hands-on role for someone who thrives on variety, takes initiative, and executes with care.
This role will evolve as quickly as we do. What you focus on in your first month will look different six months from now, as the company grows and new needs emerge. The right person sees that as the best part of the job: you will pick up new responsibilities, let go of others as we hire, and help shape what the role becomes.
Key Responsibilities
- Executive Support: Ensure the CEO's time is spent on what matters most. Manage calendars and to-do lists for the CEO and other leaders, protect focus time, and proactively address logistical and administrative needs.
- Travel Management: Plan and book domestic and international travel, including complex multi-city trips, client visits, and conferences.
- Communication & Liaison: Serve as a point of contact and gatekeeper for the CEO, screening and directing communications.
- Meeting Management: Organize meetings, including agendas and materials, and ensure follow-through on action items.
- Workplace & Operations: Keep our NYC office running smoothly, including snacks and supplies, vendor relationships, and facilities.
- Culture & Events: Plan team events, offsites, celebrations, and all-hands meetings. Help shape the traditions that make Luzern a great place to work.
- Recruiting Support: Schedule interviews, coordinate candidate visits, and help ensure every candidate has a polished, welcoming experience.
- Systemization: Scale your impact by automating repeated workflows and documenting business processes.
Requirements
- 3+ years of experience as an executive assistant, including direct support of a C-level executive.
- Experience managing complex calendars and booking travel.
- Excellent organizational, time-management, and problem-solving skills.
- Clear verbal and written communication abilities; strong attention to detail.
- Discretion in handling confidential information.
- Demonstrated ability to take initiative, anticipate needs, and work independently.
- Energized by change: you are comfortable with a role that shifts as the company grows, and you adapt quickly when priorities move.
- Solutions-oriented mindset with the ability to think on your feet and demonstrate personal accountability.
- Hybrid role based in our New York City office, with a strong in-office presence. Because you support a team whose in-office days vary, expect to be on-site more often than most, typically four days a week.
