BIMM is booming, so we're hiring a Senior Executive Assistant to join the team!

As we observe a hybrid model, this role will require you to be in office 2 days per week.

Who we are

BIMM is a Toronto-based agency that lives at the intersection of data, technology, and creativity to provide clients with high-performing campaigns and digital products that shape connected customer experiences. We've helped our clients implement fully integrated CRM customer journeys, built robust digital experiences, and created national loyalty programs with decades of experience across automotive, financial services, telecommunications, and retail.

We are creative realists, which means our ideas and solutions are grounded in the realities of our clients' business. We believe big ideas are nothing without big results (and flawless execution); high-performing agencies deliver high-performing campaigns, products, and experiences; and the best solutions happen when we collaborate with clients as partners.

Who we're looking for

We're looking for a highly organized, proactive Senior Executive Assistant who will serve as a trusted partner to our CEO. You'll manage the CEO's calendar, communications, travel, and priorities, ensuring the CEO's time and focus stay on the highest-value leadership priorities.

The right person quickly understands what matters most, anticipates needs before they arise, brings order to a busy and varied agenda, and makes sure commitments are followed through. You'll take ownership, exercise sound judgment, raise issues respectfully, and proactively remove obstacles so work keeps moving.

While the primary focus of this role is supporting the CEO, you'll also work closely with the Executive Leadership Team, our clients, and partners across the kyu Collective, and coordinate leadership meetings and offsites. The ideal candidate is calm under pressure, adapts quickly as priorities shift, communicates with confidence and professionalism, and takes pride in bringing structure and momentum to an already fast-moving business.

This is an existing vacancy, not a made-up role — this one’s already got a desk waiting.

Responsibilities

Manage the CEO's calendar, meeting cadence, and priorities, protecting time for the highest-impact work

Triage incoming requests and email, determine the right level of CEO involvement, and handle or redirect what doesn't need the CEO's attention

Plan and manage domestic and international travel

Prepare meeting briefs, agendas, and background materials so the CEO is informed and prepared for every significant interaction

Anticipate upcoming deadlines, commitments, and stakeholder needs, and flag risks or conflicts early

Track action items and commitments, follow up with stakeholders, and ensure nothing falls through the cracks

Draft correspondence, summaries, and presentation materials on behalf of the CEO

Leverage technology, automation, AI tools, and productivity platforms to improve effectiveness

Coordinate ELT meetings, offsites, and planning sessions, including agendas, materials, logistics, and follow-up

Requirements

7+ years of Executive Assistant experience, including at least 3 years supporting a CEO or C-suite executive

Experience in a professional services, agency, consulting, or high-growth environment is a strong asset

Demonstrated ability to operate independently with limited direction

Outstanding written and verbal communication skills

  • Proven ability to manage multiple competing priorities in a fast-paced environment
  • High level of professionalism, discretion, and confidentiality

Experience working with senior executives, clients, and external partners, including across time zones

Advanced proficiency in Microsoft 365 (Outlook, Teams, SharePoint) and comfort using AI and automation tools in daily work

  • Ability to influence, challenge, and redirect conversations respectfully when required
  • What will make you successful

You are

Highly proactive and take ownership without waiting to be asked

Anticipatory and able to think several steps ahead

  • Comfortable operating in ambiguity and creating structure where it doesn't exist
  • Politically astute and able to navigate organizational dynamics with confidence
  • Warm, approachable, and relationship-oriented, while maintaining appropriate boundaries
  • Exceptionally detail-oriented and committed to follow-through
  • Technologically fluent, including AI-powered productivity tools and automations
  • Adaptable and resilient when priorities shift
  • Obsessed with closure and ensuring nothing falls through the cracks
  • Most importantly, you are someone who sees a problem and handles it.
  • What's in it for you?
