The role
We're looking for a friendly, organized and dependable Executive Assistant to support the firm's owner. You'll be his right hand: managing his time, keeping things moving and often being the first person clients and staff talk to. If you enjoy people, like staying a step ahead and take pride in getting details right, you'll fit in well here.
What you'll do
- Manage the owner's calendar, appointments and meetings, and keep his priorities on track
- Serve as a warm, professional point of contact for clients by phone, email and in person
- Coordinate client meetings, follow-ups and document requests
- Draft, proofread and organize correspondence, engagement letters and other documents
- Track deadlines, action items and to-dos, and follow up so nothing slips
- Work with team members across the firm to keep projects and communication moving
- Help prepare for weekly team meetings and keep track of action items
- Handle confidential client and firm information with discretion
- Take on special projects, light research and administrative tasks as needed
What we're looking for
Required
- Strong people skills: warm, patient and professional with clients and coworkers
- Excellent communication, both written and spoken
- Highly organized and able to juggle several priorities
- Sound judgment and the ability to keep sensitive information confidential
- Reliable, proactive and comfortable working independently
- Comfortable with email, calendars and basic office software (Microsoft 365 or Google Workspace)
A plus
- 2+ years in an administrative, executive assistant or client-facing role
- Experience in a CPA, accounting, legal or other professional services office
- Comfort learning new software; familiarity with TaxDome, practice management or CRM tools, or AI productivity tools
- Some knowledge of EOS or a similar business framework
- Interest in technology and helping a team work more efficiently
What we offer
- $25–$30 per hour, depending on experience
- Health insurance
- 401(k) retirement plan
- Paid time off (PTO)
- Paid holidays
- Section 125 cafeteria plan (pre-tax benefits)
- A stable, long-established firm with a supportive small-team culture
- Direct work with the owner and real exposure to how a professional firm runs
- Full-time, Monday–Friday, on-site at our Omaha office
