We’re particularly known for our experience with E-2 investor visas and business immigration, but our practice extends across a broad range of U.S. immigration matters. From investing in or expanding a U.S. business to pursuing professional opportunities, relocating with family, or exploring other immigration pathways, our team provides guidance tailored to each client’s individual circumstances and goals. Behind Maimone Legal is a growing, multidisciplinary team spanning Legal, Operations, Sales, and Marketing. Each department plays an important role in creating a seamless client experience, from the very first conversation with our team through the immigration process and beyond. At the heart of our approach is education. We believe our clients should understand their options, the process, and the decisions they’re making, not simply be told what paperwork to file. Our goal is to make U.S. immigration easier to understand while giving clients the knowledge and guidance they need to make informed decisions about their future. That commitment extends beyond our legal practice. Maimone Legal is building a community centered around immigration education, entrepreneurship, investment, relocation, and life in the United States. By collaborating with professionals, organizations, and experts across these areas, we aim to be more than an immigration law firm, we want to be a trusted resource for those building their future in the U.S.

Receptionist & Administrative Assistant

On-Site | Full-Time | Monday–Friday, 8:30am–5:00pm | $45,000/year | Fort Lauderdale, FL

About the Role

You're the first person anyone meets at our firm, in the lobby and on the phone. You'll take around 10 calls a day from people asking about their case or wanting to book our free 20-minute consultation, get them to the right person or onto the calendar, and keep the front of the office running the way it should.

The rest of your day is real administrative work for our Office Manager and our Director of Operations. This isn't a sit-at-the-desk receptionist job, and you won't be waiting to be told what to do. You'll take work off two busy leaders' plates and be trusted with it. If you like owning the details, there's room here to grow into office operations.

Relevant Backgrounds: Receptionist · Administrative Assistant · Front Desk · Office Assistant · Legal Assistant · Executive Assistant · Hospitality

What You'll Do

  • Answer and route about 10 calls a day, and book free 20-minute consultations on our intake team's calendar
  • Greet clients and visitors, and keep the lobby and conference rooms ready
  • Support our Office Manager and Director of Operations with scheduling, documents, data entry, and follow-ups
  • Handle mail, deliveries, supplies, and vendor coordination
  • Keep client information accurate and confidential in our systems
  • Help with in-office logistics for new hires, interviews, and firm events
  • Catch what's falling through the cracks and fix it before anyone has to ask

What We're Looking For

Required

  • At least two years at a front desk or in an administrative role
  • Warm and professional on the phone, and clear in writing
  • Genuinely organized — you track your own follow-ups without reminders
  • Comfortable in Outlook and Teams, and quick to learn new software
  • Discreet with confidential information

Preferred

  • Bilingual in Spanish
  • Experience at a law firm or another professional services office
  • Experience supporting more than one person at a time
  • Experience with a CRM or case management system
  • You've been the person at your office everyone asks, because you know where everything is

Compensation

$45,000 per year, plus health, vision, and dental insurance, paid time off, and paid sick days.
